Privacy policy
What we collect, why we collect it, who else sees it, and how to make us stop. Written to be read rather than to be survived.
Effective 27 July 2026
Who this covers
This policy applies to bctechsolutions.ai and the forms and booking tools on it. It is published by BC Tech Solutions, LLC (“BC Tech Solutions”, “we”, “us”), an AI and technology consultancy operating in the United States. We are the controller of the personal information described here.
It does not cover systems we build inside a client’s own environment during an engagement. Those are governed by the contract for that engagement, and the client is the controller of any data flowing through them.
What we collect
- Information you give usWhen you submit a form or book a call: your name, email address, phone number, company or clinic name, the service you are interested in, and whatever you write in the message field. On some pages we also ask operational questions such as call volume or the booking software you use.
- Information collected automaticallyStandard server log data including IP address, browser type, pages requested, and timestamps. Where advertising is active, pixel events recording which pages you viewed and which actions you took.
- Campaign attributionIf you arrive through a link carrying campaign tags (utm_source, utm_medium, utm_campaign, utm_content, utm_term), we record those values along with the referring website and the page you landed on, and store them in your browser for the duration of your visit so that a form you submit later is still connected to the campaign that brought you here.
- Information we do not collectWe do not ask for and do not want payment card numbers, government identifiers, health information, or other sensitive categories of personal information through this website. Please do not include them in a message field.
We do not set cookies of our own. The campaign attribution described above is held in your browser’s session storage and is discarded when you close the tab. Third parties embedded on this site, described below, may set their own cookies.
Our web fonts are served from our own domain rather than from a third-party font service, so loading a page on this site does not disclose your visit to a font provider.
Why we use it
- 01Responding to your enquiry and arranging a consultation.
- 02Assessing whether we are a suitable fit for the work you are describing.
- 03Sending you a confirmation that we received your request.
- 04Maintaining our records of prospective and current client relationships.
- 05Measuring which marketing campaigns produce genuine enquiries, so we stop paying for the ones that do not.
- 06Meeting our legal, tax, and accounting obligations.
- 07Securing the site and investigating misuse or abuse.
We do not sell your personal information for money. We do not send marketing email to people who merely visited the site. If we ever want to add you to a mailing list, we will ask first.
Who else sees it
We use a small number of established service providers to run the business. They receive only what they need for their function, and they are not permitted to use it for their own purposes except where noted.
- HighLevel (GoHighLevel)Customer relationship management. Name, email, phone, company, enquiry details, and campaign attribution submitted through our forms.
- ResendTransactional email delivery. Your name and email address, used to send our internal notification and your confirmation email.
- CalendlyMeeting scheduling. Name, email, and scheduling details you enter into the booking tool. Calendly collects this directly and acts as its own controller.
- VercelWebsite hosting and delivery. IP address, user agent, and request metadata in standard server logs.
- Meta PlatformsAdvertising measurement. Pixel events indicating pages viewed and actions taken, where advertising is active. See the advertising section below.
We will also disclose information where we are legally required to, where it is necessary to establish or defend a legal claim, or in the event that the business is sold or merged — in which case the acquirer would be bound by this policy until it gives you notice of any change.
Advertising and measurement
We run advertising on Meta platforms. When advertising is active, pages on this site load the Meta Pixel, which reports back that a page was viewed or that you submitted a form or booked a call. This is how we tell which advertisements produce real enquiries rather than clicks.
Under some United States state privacy laws, this kind of pixel-based advertising measurement counts as “sharing” personal information for cross-context behavioural advertising, even though no money changes hands. We are disclosing it on that basis. You can opt out by emailing us at the address below, by using your browser’s Global Privacy Control signal, which we honour where it is transmitted, or by adjusting your Meta ad preferences directly.
How long we keep it
- EnquiriesWhere an enquiry does not become an engagement, we keep it for 24 months from our last contact with you, then delete it.
- ClientsFor the duration of the relationship and 7 years afterwards, which is the period our tax and contract record-keeping obligations require.
- Server logsRetained by our hosting provider on its standard rolling schedule.
- AttributionHeld in your browser only, and discarded when you close the tab. If it is attached to an enquiry you submit, it follows that enquiry’s schedule.
Your rights
Depending on where you live you may have some or all of the rights below. We extend them to everyone who contacts us, regardless of whether a particular law obliges us to, because operating two standards is more trouble than it is worth.
- AccessAsk what personal information we hold about you and receive a copy.
- CorrectionAsk us to correct information that is inaccurate or incomplete.
- DeletionAsk us to delete your information, subject to records we must keep by law.
- PortabilityReceive your information in a portable, machine-readable format.
- Opt out of targeted advertisingAsk us to stop sharing your information for cross-context behavioural advertising, and withdraw any consent you previously gave.
- Non-discriminationExercise any of these rights without being treated differently or charged a different price.
To exercise any of these, email privacy@bctechsolutions.ai. We will acknowledge within 5 business days and respond substantively within 30 days. We may need to ask a question or two to confirm you are who you say you are, which is a protection for you rather than an obstacle. You may use an authorised agent, and you may appeal a refusal by replying to our response.
If you are in the EEA or UK
We are based in the United States and our service providers process data there, so information you send us is transferred to and stored in the United States. Where we rely on a legal basis under the GDPR, it is our legitimate interest in responding to an enquiry you initiated and in running the business, our performance of a contract where one exists, your consent for advertising cookies, and our legal obligations for record-keeping. You may withdraw consent at any time, and you have the right to lodge a complaint with your local supervisory authority.
Security
The site is served over HTTPS, credentials for our service providers are held in environment secrets rather than in code, and access is limited to the people who need it. No system is perfectly secure, and we will not pretend otherwise. If we become aware of a breach affecting your information, we will notify you and the relevant authorities as required by law.
Children
This is a business-to-business website and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has sent us information, contact us and we will delete it.
Other websites
Where we link to another organisation’s website, that organisation’s own privacy policy governs what happens there. We are not responsible for their practices.
Changes to this policy
If we change this policy we will update the effective date at the top of the page. Where a change materially affects how we handle information we already hold, we will make a reasonable effort to tell affected people directly rather than relying on you to notice.
